2. Data collected and purposes

Contact form: name, email, company, subject and message, to answer your request (legal basis: pre-contractual measures and legitimate interest).

Event registration: name, email, company and message, to process your registration (legal basis: pre-contractual measures).

Job application: identity, email, CV and message, to assess your application (legal basis: pre-contractual measures; consent for retention beyond the procedure).

Newsletter: email address and language, to send you our announcements (legal basis: your consent, confirmed by email).

3. Retention periods

Contact requests: up to 24 months after the last exchange.

Event registrations: 24 months after the event.

Applications: 12 months after the end of the procedure, unless you consent to longer retention.

Newsletter: until you unsubscribe.

4. Recipients and hosting

Your data is accessible only to authorised ITSMS staff. The website is hosted by OVH SAS – 2 rue Kellermann, 59100 Roubaix, France, within the European Union. We do not sell your data and use no advertising services.

To process messages received through the contact form quickly, ITSMS uses an artificial-intelligence service (Claude, provided by Anthropic PBC, United States) as a processor: the text of your message (without your name or e-mail address) is sent to it only to translate it, summarise it and detect unwanted messages. This transfer is covered by contractual safeguards (standard contractual clauses). No decision about you is taken solely by automated means: a member of the ITSMS team reads and handles every request.

5. Cookies and audience measurement

The website sets no tracking cookies and uses no third-party analytics tool.

We measure traffic with an in-house, cookie-free tool: your IP address is never stored; it is used only, in memory, to compute an anonymous identifier that changes every day, and your approximate country and city. These aggregated statistics (page views, origin, device) are kept for a maximum of 13 months.

A technical session cookie is used only in the sign-in area reserved for authorised people.

6. Security

Encrypted connection (HTTPS), security headers, restricted access and strong authentication for administration. As no system is infallible, please report any anomaly to aymen.khalfaoui@itsms.eu.

7. Your rights

You have the right of access, rectification, erasure, restriction, objection and portability, and the right to withdraw your consent at any time. To exercise them, write to aymen.khalfaoui@itsms.eu.

You may also lodge a complaint with the Belgian Data Protection Authority (APD/GBA), Rue de la Presse 35, 1000 Brussels, www.dataprotectionauthority.be.
